Where your data goes

What gets sent outside the firm, and where is the rest kept?

If client files or staff records will go into it, know first that anyone with an account can link an AI app of their own with no admin step, and whatever it pulls into its chat goes to that app's own AI service, outside your settings.

An admin (full authority over your space) can turn on file summaries and search by meaning, which finds files by subject, not wording. Once either is on, the AI provider picked for it, the service that runs its AI model, gets text from every file of a listed type, such as notes or code. Private folders are included, and with search by meaning, so are people's searches, though each person's results show only files they may open.

PDFs, scans, images and audio never go to an AI provider by themselves. The file itself goes only after an admin selects a provider to handle such files and asks for a text version.

An admin can exclude folders from summaries and search by meaning, but only for future sends and only once the change is applied, not merely saved. Summaries already made stay, and your provider agreement, not AIEUS, governs how that provider uses your text.

By default, each AI assistant reply sends Anthropic its instructions, a description of your space, the chat so far and what it looks up, possibly private files or, when an admin asks, settings and secrets.

Your host (whoever installs and runs AIEUS for you) keeps your data on one machine with any other spaces, each with its own database, and can reach it, limited by your hosting contract, not AIEUS.

Not offered: AIEUS encrypts neither stored files nor the whole database, backups follow their storage's encryption settings, and AIEUS never deletes old ones, so ask your host about disk encryption, location and how long deleted data stays.
